Terms & Conditions​

At Body Balanced Physio & Pilates, we are committed to providing high-quality, personalised care. To ensure a smooth experience for all clients, please review our Terms and Conditions below:

1. Booking Appointments​

​

  • All sessions are by appointment only and can be booked directly via email with Sophie. Please email sophie@bodybalanced.gg.

  • New clients must first book an Introductory Offer (2 x 55-minute sessions for £140) to assess needs and set personalised goals.

  • Advance booking is recommended to secure your preferred time slot.

2. Payments Policy​

​

  • Payment is required in advance via bank transfer to confirm your booking. Please set payment reference as your surname.

  • For block bookings (5, 10, or 20 sessions), payment for the full block is required upfront.

  • Prices are as follows:

    • Single Session (55 mins): £85

    • Block of 5: £80 per session

    • Block of 10: £75 per session

    • Block of 20: £70 per session

  • Insurance Payments

    • Sophie does not deal with insurance companies directly.​

    • As a physiotherapist your insurance company may cover part (but unlikely all) of your session.

    • Sophie can provide an invoice for your session, upon payment, which you can then send to your insurance company for reimbursement.

3. Professional Memberships / Regulatory Bodies

​

  • ​Sophie is regulated by the HCPC (Membership No. PH108318) and is a member of the Chartered Society of Physiotherapy (Membership No. 098528).

​

4. Cancellation & Rescheduling Policy

​

  • 24 hours’ notice is required for all cancellations or rescheduling appointments.

  • Cancellations made with less than 24 hours’ notice will be charged in full, except in cases of genuine emergency.

  • For block bookings, late cancellations will result in the session being deducted from your block.

  • To cancel or reschedule, please contact Sophie directly.

5. Late Arrivals 

​

  • If you arrive late, your session will still end at the scheduled time to accommodate the next client.

  • Full payment will apply regardless of the reduced session length.

​

6. Expiry of Block Bookings

​

  • Block bookings must be used within:

    • 3 months for blocks of 5

    • 6 months for blocks of 10

    • 12 months for blocks of 20

  • Unused sessions after the expiry date are non-refundable.

​

7. Clothing / Footwear

​​

  • Please wear appropriate clothing, conducive to exercising, and bring a small clean towel.

  • For health and safety reasons, socks (preferably non-slip) must be worn in the studio at all times.

  • If you forget your socks, there is an option to purchase them from the Body Balanced studio.

  • If your session requires trainers, please ensure that you bring indoor shoes to change into as outdoor shoes will not be permitted in the studio.

8. Consent to Exercise

​

  • All new clients are required to complete a confidential registration form, which will require information on demographic information, medical history, and consent to Body Balanced policies and exercise.

  • Persons who rehab is specifically focuses on women’s health (pre - & post- natal ) or neurological rehabilitation will be required to complete an additional questionnaire with some more detailed questions, to ensure it is safe for you to exercise.

9. Additional Information; Clinic Letter / Reports

​

  • Your sessions will be taught by a Chartered Physiotherapist so if you have any relevant scans, test results or clinic letters, please send them prior to your appointment or bring them along to your appointment.

​

10. Note Taking

​

  • Sophie is legally required to write clinic notes documenting your session details.

  • This is a requirement by the regulatory body for physiotherapists: the Health + Care Professions Council (HCPC).

​

11. Health & Safety

​

  • Please inform Sophie of any changes to your health or medical conditions before each session.

  • If you are feeling unwell, we kindly ask that you reschedule your appointment to ensure the well-being of both clients and staff.

  • Please ensure you are familiar with the health and safety policy and fire safety procedures.

​

12. Refund Policy

​

  • Payments for individual sessions and blocks are non-refundable once the session or block has started, except in strict extenuating circumstances, such as becoming medically unstable.

  • Refunds will only be considered at Sophie’s discretion.

​

13. Location

​

  • Body Balanced is provided in a brand new boutique, private studio located in the Vale.

  • Address provided in confirmation email upon booking, as well as in the footer of our website.

​

13. Parking

​

  • Please park in the spaces clearly marked for Body Balanced Studio.

  • This is a private property so please respect the environment and park in the designated car parking spaces.
